Choosing the right data management system for your TRIO program is an important
decision. Usually, your search
begins with comparing product characteristics such as features, security, or
support, but eventually all new purchases arrive at a discussion on pricing.
We think this element of the purchase is as equally important as you do.

Sometimes it's hard to compare apples to apples when you don't know
all the questions you want to ask and the reality is, not all TRIO tracking
solutions price their products and services the same way. In fact, some
companies can be misleading about their pricing by appealing to the community
with lower up front fees and then suprising them later on with hidden costs. So
whether you are purchasing a new data mangement solution or just considering a
switch from you current system, here are helpful questions to consider:
1. What does the initial license cost?
2. What does the initial license include?
3. Are there additional costs for a multiple-user version of the license?
4. What is the charge for a data conversion?
5. Is any training included with the purchase of an initial license
at no additional cost?
7. What is the cost of your Annual Support Plan?
8. Do you charge late fees on the Annual Support Plan?
9. If so, what are these
costs and what are the grace period(s).
10. What's included with the annual plan?
11. What is the cost for upgrades?
12. How many upgrades a year can I expect to pay for?
13. Are upgrades included in my Annual Support Plan?
14. Are there added charges for shipping manuals, software, or any other materials?
15. Do you charge seperatly for training manuals or instruction manuals?
How some companies answer these questions, may suprise you. For example, some
Annual Support Plans charge customers seperatly for updates which are sent out
on a yearly or bi-yearly basis. Costs such as these and other hidden fees like
additional licenses or excessive shipping and handeling charges can take a
program by suprise.
StudentAccess takes a straightforward approach when it comes to pricing. We have
an intial fee for the software which covers multiple users. There is no need to
purchase a special type of license for this or spend additional dollars with us.
StudentAccess does has optional componets and resources available such as
data conversions and trainings which are priced seperatly, but one thing you can
count on is that we will be up-front with you about these costs as well. If you
